Cancellation policy

Your booking is confirmed only after you agree to this policy. We will also send the cancellation terms in the booking confirmation message.

If you cancel after advance payment, we will refund the amount remaining after the applicable cancellation charge has been deducted.

Conditions of stay

If there is a serious breach of the confirmed booking, these conditions or the house rules, and the breach affects safety, hygiene, neighbours or the operation of the property, we may end the accommodation agreement and ask the guest to leave. Any refund will be considered individually in light of the breach and applicable law.

• The maximum number of overnight guests is eight.
• People who are not registered as guests may not enter or visit the property unless we have agreed in advance.
• Stays are generally available for a minimum of two nights.
• Check-in is at 15:00 and check-out is at 10:00.

Privacy and cookie information

Y&A Shoji LLC (referred to below as “we”, “us” or “our”) handles personal information as follows.

• Information we collect: your name; contact details such as email address, telephone number or messaging contact; information required for the legally mandated guest register, including address, occupation, nationality and passport details where applicable; and details of your enquiry and booking.
• Why we use it: to answer enquiries, manage and provide bookings, prepare and retain the legally required guest register, contact guests, and operate and improve our services.
• Legal bases where the GDPR or UK GDPR applies: we process booking and pre-booking information to take steps at your request and perform the accommodation contract; guest-register information to comply with Japanese law; security, fraud-prevention and essential website records for our legitimate interests in operating YA House safely; and optional analytics on the basis of consent. You may withdraw consent at any time.
• Retention: guest registers are retained for three years as required by law. Other information is retained only for as long as reasonably necessary for the purposes described above and any applicable legal obligations.
• Sharing: we do not provide personal information to third parties without consent, except where required or permitted by law, including lawful requests from public health authorities or the police.
• Security: access to devices and accounts that contain personal information is limited to people who need it for their work. We use password-based authentication and other reasonable safeguards against unauthorised access, loss and disclosure. Further information about these measures is available through the contact point below.
• Analytics and cookies: we use Google Analytics and may use our first-party cookie “ya_ab”, which stores only the value “A” or “B”, to understand and improve the website. For visitors in the EEA, UK and Switzerland, analytics and optimisation cookies do not operate until consent is given through the banner. In other regions, analytics is enabled by default after this notice is made available; it can be disabled at any time using the button below. We do not use advertising or remarketing cookies.
• Service providers and international processing: enquiry and booking form data may be processed and stored by Google LLC in the United States through Google Apps Script and Gmail. The website is hosted by Cloudflare, Inc. in the United States, and Cloudflare Turnstile processes device and connection information to prevent automated abuse. Google Analytics processes website usage data. These services operate under the providers' data-processing terms, including Standard Contractual Clauses where applicable.
• YouTube and Google Maps: video thumbnails and map previews are served from our website. A connection to YouTube or Google Maps is made only after you choose to play a video or display a map. At that point, information such as your IP address may be sent to Google LLC. See Google's Privacy Policy (opens in a new tab).
• Rights of visitors in the EEA and UK: where applicable, you may ask for access, correction, erasure, restriction or portability of your personal data, object to processing based on legitimate interests, or withdraw consent. You may also lodge a complaint with the data-protection authority in the country where you live or work. Contact us using the details below. Withdrawing consent does not affect processing that was lawful before withdrawal.
• Required information and automated decisions: information marked as required is needed to answer the relevant enquiry or accept and manage a booking. If it is not provided, we may be unable to provide the requested service. We do not make decisions that produce legal or similarly significant effects solely by automated processing.
• Requests about personal data: you may ask us to explain the purpose of use, provide access, correct, add or delete information, stop use, erase information or stop third-party provision, as provided by applicable law. We may compare your request with the name and contact details used for the booking or enquiry to prevent impersonation. We do not charge a request fee, although any exceptional postage or similar cost will be explained in advance.
